This Policy explains how LIQUIDMIND® Product Consulting Private Limited collects, uses, stores, and protects information in connection with our AI-powered trade compliance platform.

This Privacy Policy ("Policy") explains how LIQUIDMIND® Product Consulting Private Limited ("LIQUIDMIND®", "we", "us", "our") collects, uses, stores, and protects information in connection with our AI-powered trade compliance platform and associated services (collectively, the "Services").

"Customer" means the business entity registered for the Services. "Authorised User" means any employee or representative authorised by the Customer to use the Services.

Information We Collect

1.1 Account and Registration Data

When you register for a LIQUIDMIND® account, we collect:

  • Full legal name of your business entity and its authorised representatives
  • Business email address and contact phone number
  • Company registration number, GST or other applicable tax identification number
  • Billing address and payment information (processed via our authorised payment processors — we do not store card numbers)
  • Job title and role of the account administrator

1.2 Trade and Compliance Data (Customer Data)

In the course of using the Services, you may submit:

  • Product descriptions, technical specifications, and HSN/HS code classification queries (TariffIQ)
  • Counterparty names, entity identifiers, and trade partner information for screening (TradeGuard)
  • Shipment details, destination countries, and export documents (Patram AI)
  • Uploaded trade documents such as invoices, packing lists, and shipping bills

This data constitutes Customer Data as defined in our Terms of Service. You own your Customer Data. We process it only as described in this Policy.

1.3 Usage and Technical Data

We automatically collect technical information when you access the Services, including:

  • IP address, browser type and version, operating system
  • Pages visited, features accessed, search queries made within the platform, session duration
  • Error logs and performance data used to maintain and improve the Services

We collect information you provide when you contact us, including support tickets, chat messages, email correspondence, and feedback.

How We Use Your Information

2.1 To Provide and Operate the Services

  • Process AI classification, screening, and compliance requests
  • Generate and deliver AI Outputs and reports
  • Manage your account, subscriptions, and billing
  • Provide customer support and respond to enquiries

2.2 To Improve the Services

We may use aggregated, anonymised, and de-identified usage data (which cannot identify you or your organisation) to analyse feature adoption, identify bugs, and develop new features. We do not use your Customer Data — trade documents, product descriptions, or counterparty information — for model training without your express written consent.

2.3 For Security and Compliance

  • Detect, prevent, and investigate fraud, unauthorised access, and security incidents
  • Comply with applicable laws, court orders, and regulatory obligations

2.4 For Communication

  • Send transactional emails (account confirmations, invoices, security alerts)
  • Share product updates and release notes (you may opt out at any time)
  • Send marketing communications about our Services (with your consent where required by law)

What We Do Not Do

We are explicit about practices we do not engage in:

We do not sell your data. We do not sell, rent, or broker your personal information or Customer Data to any third party for their commercial use.

We do not train AI models on your Customer Data. Your trade documents, classification queries, counterparty names, and shipment data are never used to train or fine-tune LIQUIDMIND®'s AI models without your prior written consent.

We do not use your data for advertising. We do not place advertising on the Services and do not share your data with advertising networks or data brokers.

We do not profile you for non-service purposes. Any automated processing of your data is limited to delivering and improving the Services you have subscribed to.

How We Share Your Information

4.1 Service Providers

We share your information with trusted third-party service providers who perform functions on our behalf, including cloud infrastructure and hosting (data processed under our instructions), payment processors, customer support platforms, and analytics tools (using anonymised data only). All service providers are bound by data processing agreements restricting use of your data to providing services to LIQUIDMIND®.

4.2 Legal Requirements

We may disclose your information where required by applicable law, regulation, court order, or government authority request. Where legally permitted, we will notify you before complying with such a request.

4.3 Business Transfers

If LIQUIDMIND® undergoes a merger, acquisition, or asset sale, your information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a materially different privacy policy.

4.4 No Other Sharing

We do not share your personal information or Customer Data with any third party except as described in this Section 4, or with your express written consent.

Data Storage and Security

5.1 Infrastructure

LIQUIDMIND® uses a multi-cloud infrastructure to deliver its Services. Account data, trade compliance data, and general platform operations are hosted on Microsoft Azure infrastructure in the India Central region (Pune), ensuring primary data residency within India in compliance with applicable Indian data localisation requirements.

AI model inference — specifically GPT-5.4 Pro and o3 Pro models used to power TariffIQ, TradeGuard, and Patram AI — is processed via Azure in the Sweden Central region. This is due to current Azure regional model availability constraints; these advanced models are not yet available in Azure's India regions. We have no discretion over this limitation — it is imposed by Azure's model deployment geography.

Our multi-cloud approach is structured as follows:

  • Azure India Central (Pune): Account registration data, billing records, platform operations, and general Customer Data storage
  • Azure Sweden Central: AI model inference only (GPT-5.4 Pro, o3 Pro) — query inputs and outputs during active processing

All cross-region data transfers to Sweden Central are covered by Microsoft's Data Processing Addendum and Standard Contractual Clauses, ensuring GDPR-equivalent protections apply to any data processed outside India.

5.2 Security Measures

We implement appropriate technical and organisational security measures including:

  • Encryption of data in transit (TLS 1.2+) and at rest (AES-256)
  • Role-based access controls limiting internal access to Customer Data
  • Regular security assessments and vulnerability reviews
  • Audit logging for access to sensitive data

In the event of a confirmed security incident affecting your Customer Data, LIQUIDMIND® will notify you without undue delay and within 72 hours of becoming aware, in accordance with applicable law.

5.3 Retention

We retain Customer Data for the duration of your active subscription and for 30 days following termination (available for export), after which it is deleted or anonymised unless retention is required by applicable law. Account and billing records are retained for 7 years to meet financial reporting obligations. Anonymised usage data may be retained for up to 3 years for service improvement purposes.

Your Rights

Subject to applicable law, you and your Authorised Users have the following rights regarding personal data we hold:

  • Access — request a copy of your personal data
  • Correction — request correction of inaccurate or incomplete personal data
  • Erasure — request deletion of your personal data, subject to legal retention requirements
  • Restriction — request that we restrict processing in certain circumstances
  • Portability — receive your personal data in a structured, machine-readable format
  • Objection — object to processing based on legitimate interests
  • Withdraw Consent — withdraw consent at any time where processing is based on consent

India-Specific Provisions

7.1 Digital Personal Data Protection Act, 2023 (DPDPA)

LIQUIDMIND® processes personal data in compliance with India's Digital Personal Data Protection Act, 2023 and applicable Rules. Where we process personal data on behalf of Customers (e.g., data submitted to the platform), we act as a Data Processor in accordance with Customer instructions. Where we collect personal data directly (e.g., account registration), we act as a Data Fiduciary and rely on consent or legitimate purpose as the legal basis for processing.

7.2 Grievance Officer

In accordance with the DPDPA and the Information Technology Act, 2000, LIQUIDMIND® has designated a Grievance Officer for data privacy matters. To raise a grievance, write to us at support@liquidmind.ai — include "Grievance Officer" in the subject line.

We will acknowledge your grievance within 48 hours and aim to resolve it within 30 days.

7.3 Aadhaar

LIQUIDMIND® does not require submission of Aadhaar numbers as part of its standard Services. If you choose to provide an Aadhaar number for identity verification purposes, it will be handled in compliance with the Aadhaar Act, 2016 and applicable UIDAI guidelines. Providing Aadhaar details is entirely optional — alternative government-issued identification is accepted.

Cookies

Our web platform uses cookies and similar technologies:

  • Strictly necessary cookies: required for platform functionality (session management, authentication) — cannot be disabled
  • Analytics cookies: help us understand how visitors use the platform (e.g., Amplitude). You may opt out via your browser settings
  • Preference cookies: remember your settings

We do not use advertising or third-party tracking cookies. Disabling non-essential cookies will not affect your ability to use core Services.

International Transfers

Your account data and Customer Data are primarily stored and processed in India (Azure India Central, Pune). However, AI model inference for certain Services is performed in Sweden Central (Azure) due to regional model availability constraints — specifically, GPT-5.4 Pro and o3 Pro are not currently available in Azure's India regions.

These cross-border transfers are protected as follows:

  • AI inference (Sweden Central): Covered by Microsoft's Data Processing Addendum and Standard Contractual Clauses (SCCs), providing GDPR-equivalent safeguards for data transferred outside India
  • General infrastructure: Azure's contractual protections apply to all regions used

LIQUIDMIND® does not transfer Customer Data to any country or cloud provider beyond those described above. By using the Services, you acknowledge the multi-region processing described in this Section and Section 5.1.

Updates to This Policy

We may update this Policy from time to time. When we make material changes, we will post the revised Policy with an updated "Last updated" date and notify you by email to the registered account address at least 14 days before material changes take effect. Your continued use of the Services after the effective date constitutes acceptance.
